Comptroller 

Position Overview:

Under the general supervision of the Executive Director, the Comptroller is responsible for the financial management and controls of the ArtCenter. The Comptroller will demonstrate executive leadership skills in all areas of financial management and oversight.

General Schedule: This is a salaried full time position requiring 40 hours per week, regular schedule M-F 10am- 6pm.  Flexible schedule that might include evenings, weekends and holidays.

Job Responsibilities:

The Comptroller is the responsible of all financial planning, record keeping, analysis and reporting activities. (S)he must establish and maintain processes and controls which validate the integrity of all systems and data, and provide a high level of internal and external controls. (S)he is a valuable member of the top management group.

Management

  • Maintain a documented system of accounting policies, procedures and internal controls.
  • Oversee the operations of the accounting department, including making sure the organizational structure is adequate to achieving the department’s goals and objectives.

Transactions

  • Ensure that all financial transactions are recorded in the general ledger accurately and timely.
  • Ensure that accounts payable are paid in a timely manner.
  • Ensure that accounts receivable are collected promptly.
  • Maintain the chart of accounts.
  • Maintain an orderly accounting record keeping system.
  • Maintain a system of controls over accounting transactions.
  • Process payroll in a timely manner.
  • Reconcile payroll related reports such as wages, taxes and workers comp.
  • Prepare annual Workers Comp audit.
  • Prepare year end documents including 1099s.
  • Maintain vacation/sick days schedules for all employees.
  • Ensure that monthly bank reconciliations and account analyses are timely completed.
  • Ensure that any required debt payments are made on a timely basis.

Reporting

  • Issue timely and complete financial statements.
  • Manage the production of the annual budget and forecasts.
  • Calculate variances from the budget and report significant issues to management.
  • Provide financial analyses as needed, in particular for capital investments, pricing decisions, and present financial reports, other financial agreements, budgets and other advices to senior management and board of directors as needed.

Compliance

  • Provide information to external auditors for the annual audit.
  • Monitor debt levels and compliance with debt covenants.
  • Comply with local, state, and federal government reporting requirements and tax filings.

Qualifications:

  • Bachelor’s degree in accounting or business administration.
  • 4+ years of accounting and payroll experience.
  • Proficient in QuickBooks, and Microsoft Office, including Excel and Word.
  • Previous management experience, with strong interpersonal and communication skills.
  • Strong interpersonal and effective communication skills; experience in communication and presentation of key data sets to senior management.
  • Demonstrated excellence in managing finance, accounting, budgeting, expenses control, and reporting.
  • Highly organized with a strong attention to detail.
  • Solid business acumen, ability to learn quickly and interact across functional teams.
  • Ability to think strategically, to interact and work well with staff and management; to multi-task, to set priorities and organize work responsibilities to ensure completion of assigned tasks within preset timeframes.
  • Ability to communicate and work effectively with people of diverse cultures, education, social, and economic backgrounds, ability to give direction to staff and elicit buy-in on changes to policies and procedures and to work in a team centered environment.
  • Experience in nonprofit accounting preferred.
  • Bilingual in English/Spanish is an advantage.

Community Engagement Coordinator 

Position Overview:

Under the general supervision of the Artistic Director, the Community Engagement

Coordinator implements and develops engagement strategies that extend the conversations around ArtCenter/South Florida programs into the greater community, increase awareness of ArtCenter in the community, promote access to the institution, and demonstrate the value of arts and culture by positioning it at the center of vital civic conversations and meaningful actions.

Job Responsibilities:

  • Lead ArtCenter’s community initiatives and outreach.
  • Responsible for the development and implementation of ArtCenter’s youth programs and any additional programs.
  • Develop innovative and accessible programs related to the ArtCenter public programs, artist studio practices and exhibitions for a wide range of audiences as well as evaluation and performance measures for all youth programs and any additional programs.
  • Develop collaborative relationships and partnerships with local schools, universities, other nonprofit organizations and city governments.
  • Provide administrative, coordination, and project support for community engagement activities.
  • Serve as ArtCenter’s liaison to community foundations, community partners, companies and individual donors.
  • Develop and oversee the success of intern and volunteer programs, including daily management, recruitment, and reviews.
  • Attend staff meetings and other meetings as set by the Artistic Director.

Qualifications:

 

  • Bachelor degree, preferably in Art Education, community development or artistic social practice
  • At least three-year experience specializing in art education, community relations, cultural programming, or creative placemaking.
  • Strong understanding of Miami’s local community.
  • A valid driver’s license is required.
  • Bilingual in English/Spanish is an advantage.

Skills:

  • Must be able to make informed decisions on maintaining ArtCenter’s positive image and public perception of ArtCenter and its programs.
  • Ability to maintain deadlines, oversee event planning, coordination and completion.
  • Highly motivated team player.
  • Must be proficient with the use of a computer, copy machine, and telephone. Must be proficient in the use of computer software such as Microsoft Office.
  • Must be able to function with little supervision.
  • Highly organized with a strong attention to detail.
  • Excellent writing, communication and organizational skills.
  • Ability to think strategically, to interact and work well with staff and management; to multi-task, to set priorities and organize work responsibilities to ensure completion of assigned tasks within preset timeframes.
  • Ability to communicate and work effectively with people of diverse cultures, education, social, and economic backgrounds.
  • Ability to work in a team centered environment.
  • Strong public speaking and leadership skills.
